Every proposal was built from scratch and the pricing logic lived in a few people's heads. Now a single scoping conversation produces the whole proposal pack.
The problem
Every proposal was built from scratch, and only a few people knew the pricing logic. Nothing structured passed from sales to delivery, so projects began without a clear record of what had been agreed. A first draft took several internal meetings before anything could go to the client.
What we built
A knowledge library of reusable building blocks: service descriptions, pricing logic, capability statements and proof points, all in one place and structured so AI can retrieve them.
A pricing calculator produces three scenario tiers (Essential, Recommended, Complete) from one set of inputs. From that same scoping conversation, the system produces:
- A Word statement of work
- An Excel delivery specification
- A PowerPoint client deck
The three are consistent with each other, and a person reviews them before anything goes to the client.

What changed
Meetings stopped being where the proposal gets built and became where an existing draft gets refined. And there is now a written handover from sales to delivery, so what was agreed in the sales conversation survives into the project.
