Proposal & Pre-Sales System
Every proposal was built from scratch. Pricing logic lived in people's heads. We built a knowledge library, a three-tier pricing calculator, and a document generation system that produces a full proposal pack from a single scoping conversation.
The problem
Every proposal was built from scratch. Pricing logic was undocumented and lived in a few people’s heads. There was no structured handover from sales to delivery - each project started without a clear record of what had been agreed or why.
The work to produce a first draft required multiple internal meetings before anything could go to the client. The pre-sales cycle was longer than it needed to be.
What we built
A knowledge library of reusable building blocks: service descriptions, pricing logic, capability statements, and proof points - all in one place and structured for AI retrieval.
A pricing calculator generates three scenario tiers (Essential, Recommended, Complete) from a single set of inputs. From that one scoping conversation, the system produces:
- A Word statement of work
- An Excel delivery specification
- A PowerPoint client deck
All three are consistent with each other and ready for human review before anything goes to the client.

What changed
Proposal preparation time reduced by around 5x. The pre-sales cycle shortened by 2-3x. For the first time, there’s a structured handover record from sales to delivery - so nothing agreed in the sales conversation gets lost when the project starts.
Meetings shifted from building the proposal from scratch to refining a complete draft that already existed.
