Written out plainly, because this is the part that is usually hand-waved.
- Why not just use ChatGPT?
- You can, and for some jobs you should. But a chat that answers anything has never seen your price list, your templates, or the offer you sent last month. It gives you something general and somebody on your team rewrites it. The work worth paying for is putting your own material behind it and pointing it at one job.
- So what makes the answer right?
- Your own material. Your rates, your document formats, the procedures you follow, what you quoted before and what you won. Two companies doing the same job need different systems, because the answer depends on their own history.
- What do we keep?
- All of it. Your prices, templates and past documents stay as ordinary files in a place you already own - your SharePoint, your Drive, your Git. Your own people open them and edit them. When a price changes, you change the file: no developer, no waiting, no invoice. If you stop working with us, you keep everything.
- Does this tie us to one AI company?
- No, and that is the reason the material stays yours. Moving from one AI provider to another is a settings change, because your files do not move. We run our own systems across several providers and switch between them.
- Where does our data go?
- Usually into something you already pay for. Most companies have Microsoft or Google, and that is normally the cheapest and simplest place to start. If you need to be able to show where your data is - for GDPR, for an audit, or because a client asks - it can run inside the EU. Claude and OpenAI are options too. Sensitive work can use one model while everything else uses something faster and cheaper.
- Who decides?
- Your people. The AI reads and drafts; a person approves. Anything a client sees is checked first, and nothing is written back into your files until someone confirms it. That is also how it gets better - what you approve is kept, so the next one starts closer to right.
- What does it end up being?
- One of four things, depending on the job. A chat. A small tool built for one task. A full application. Or a workflow running inside the systems your team already opens every morning. A plain chat is the one everyone pictures, and usually the weakest choice.
